Privacy Policy
Last updated: June 2, 2026
This Privacy Policy explains how FlowPilot Digital (“FlowPilot,” “we,” “us,” or “our”) collects, uses, and protects your personal information. It applies to all FlowPilot Digital websites, applications, and services, including flowpilotdigital.com and the FlowPilot REV platform at rev.flowpilotdigital.com (the “Service”).
1. Information We Collect
Personal Information You Provide
We collect personal information that you voluntarily provide to us when you:
- Register for an account or use our services
- Contact us through forms, email, or phone
- Subscribe to our newsletters or marketing communications
- Join a waitlist or take part in surveys and promotions
- Make purchases or transactions
- Submit business inquiries or apply for employment
This information may include your name, email address, phone number, mailing address, payment information, company or brokerage details, and any other information you choose to provide.
Information Automatically Collected
When you visit our website or use our services, we automatically collect certain information, including device information (IP address, browser type, operating system, device identifiers), usage data (pages visited, time spent, click patterns, referral sources), general geographic location based on IP address, and technical data such as screen resolution, language preferences, and time zone.
Information From Third Parties
We may receive information about you from third-party sources, including social media platforms when you connect your accounts, business partners and affiliates, public databases and marketing partners, and analytics and advertising services.
Real Estate Listing Information
When you use REV, we collect and process property listing information and images that you submit to us or direct us to retrieve from public listing sources (for example, by providing a listing URL). This may include property addresses, descriptions, prices, MLS numbers, and photographs. You are responsible for ensuring that you are authorized to market each listing you submit and that you hold the rights necessary for us to process and publish the associated images and information.
2. Legal Basis for Processing
We process your personal information based on one or more of the following legal grounds: your consent; the performance of our contractual obligations to you; our legitimate business interests, balanced against your privacy rights; compliance with applicable laws and regulations; and the protection of the vital interests of you or another person.
3. How We Use Your Information
We use your personal information to:
- Provide, maintain, and improve our services
- Generate marketing video and related content from the listing information and images you provide or direct us to process
- Process transactions and manage your account
- Communicate with you about our services, updates, and support
- Send marketing communications with your consent
- Analyze usage patterns and optimize the user experience
- Prevent fraud, abuse, and security threats
- Comply with legal obligations and resolve disputes
4. AI and Automated Processing
FlowPilot REV uses artificial intelligence to analyze property photos and listing information and to generate marketing video and related content. Content you provide or direct us to process is used only to deliver the Service to you and is not used to train third-party AI models beyond what is necessary to produce your output. Automated processing is integral to the Service; where required by law, you may request human review of a decision that significantly affects you.
5. Communications and Text Messaging
With your consent, we send you marketing and informational messages — including product updates, offers, and availability — by email and by text message (SMS) to the contact details on file. Message frequency varies, and message and data rates may apply. You can stop SMS messages at any time by replying STOP, and reply HELP for help; you can unsubscribe from marketing email using the link in any such message. Consent to marketing messages is not a condition of purchasing any product or service. Opting out of marketing does not affect transactional or service messages that are necessary to provide a service you have requested.
6. Information Sharing and Disclosure
We do not sell your personal information. We may share your information in the circumstances described below.
Service Providers and Sub-Processors
We share information with trusted third-party providers that help us operate the Service, disclosing only the data each provider needs to perform its function. These include providers for payments (Stripe); hosting and storage (Vercel, Cloudflare, Neon); email delivery (Resend); AI analysis (Anthropic); video generation (JSON2Video); content sourcing (HasData); publishing and CRM (Google and YouTube, GoHighLevel); and workflow automation (n8n).
Business Transfers
If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
Legal Requirements
We may disclose your information when required by law, court order, or government request, or to protect our rights, property, or safety.
With Your Consent
We may share your information with your explicit consent for specific purposes not covered in this policy.
7. International Data Transfers
Your information may be transferred to and processed in countries other than your own. Where this occurs, we put appropriate safeguards in place to protect your information, such as standard contractual clauses.
8. Data Security
We implement appropriate technical and organizational measures to protect your personal information, including encryption of data in transit and at rest, access controls, regular security assessments, and incident response procedures. However, no security system is completely secure, and we cannot guarantee absolute security.
9. Data Retention
We retain your personal information for as long as necessary to fulfill the purposes outlined in this policy, unless a longer retention period is required or permitted by law. Retention periods vary based on the type of information, applicable legal and regulatory requirements, our legitimate business interests, and your preferences and requests.
10. Cookies and Tracking Technologies
We use cookies, web beacons, and similar technologies to remember your preferences, analyze website performance and user behavior, and provide personalized content. You can control cookies through your browser settings; disabling cookies may affect the functionality of our services.
11. Your Privacy Rights
Depending on your location, you may have the right to access, correct, delete, or restrict the processing of your personal information; to request a portable copy of your data; to object to processing based on legitimate interests; and to withdraw consent where processing is based on consent. To exercise these rights, please contact us using the details below. We will respond within the timeframe required by applicable law.
12. Children's Privacy
Our services are not intended for children under 16 years of age, and we do not knowingly collect personal information from them. If we become aware that we have collected personal information from a child under 16, we will take steps to delete it promptly.
13. Third-Party Links and Services
Our services may link to or integrate with third-party websites and services. This policy does not apply to those third parties, and we encourage you to review their privacy policies.
14. Updates to This Policy
We may update this policy from time to time to reflect changes in our practices or applicable laws. We will notify you of material changes through a prominent notice on our website or by direct communication. The “Last updated” date above indicates when the policy was last revised.
